About the position
Eightx is seeking a Virtual Assistant to manage critical financial data operations and reporting. Due to ongoing technical challenges with automated data feed systems, we require immediate support to manually refresh data feeds and maintain multiple audit and CFO client deliverables.
In this remote role, you will work closely with our finance team (Matt, Pat, Ash, and Red) via Slack to extract, organize, and update financial data on a daily basis. You will play a key role in ensuring our team and clients have access to accurate, real-time financial information that drives decision-making and business growth.
What you will do
Time Zone & Commitment
Daily Evening Commitment: This role requires daily availability at approximately 8:00 PM Pacific Time (PT) to perform critical data feed updates. Consistency and reliability are essential as our operations depend on timely data refreshes.
Flexible Additional Hours: Additional time during the day or week for report refresh cycles and maintenance tasks. Total estimated commitment: 10-15 hours per week.
Daily Data Feed Management
Monitor and extract relevant data from Slack communications with team members (Matt, Pat, Ash, and Red)
Perform manual data updates every evening at 8:00 PM Pacific Time
Process, organize, and compile data feeds into standardized formats
Verify data accuracy and flag any discrepancies immediately
Confirm successful completion of daily updates via Slack

Maintain accuracy and consistency across all data feeds and reports

Maintain detailed logs of update activities and issues
What You Must Have
Evening Availability: Must be available daily at 8:00 PM Pacific Time – this is non-negotiable.
Excel/Sheets Proficiency: Advanced skills in Microsoft Excel or Google Sheets (formulas, pivot tables, data manipulation).
Data Entry Experience: Proven experience with financial data, spreadsheets, and database management.
Attention to Detail: Exceptional accuracy – errors in financial data have serious consequences.
Communication: Strong proficiency with Slack and professional written communication.
Independence: Ability to work independently with minimal supervision and meet strict daily deadlines.
Reliability: Commitment to consistency – this role requires daily execution without fail.
Preferred Qualifications
Background in finance, accounting, or financial analysis is preferred, not required
Familiarity with financial modeling and CFO reporting
Experience with Shopify data exports and e-commerce analytics
Knowledge of cohort analysis, customer behavior metrics, and financial KPIs
What success looks like in the first 90 days
100% on-time daily data feed updates with zero missed deadlines
All identified client reports refreshed on schedule
Data accuracy rate of 99%+ with proactive error identification
